1. Standard Cancellation Terms
1.1 Advance Notice Requirements
Cancellations must be made 30 days prior to the event date
Notice must be given in writing via email to info@bookmykoothu.com
Verbal cancellations will not be considered valid
1.2 Non-Refundable Expenses
Artist travel tickets and accommodations (once booked)
Costume/prop rentals arranged for the event
Any special equipment hired for the performance
Marketing materials or promotional costs incurred
2. Refund Structure
2.1 Eligible Refund Scenarios
Cancellation less then 24 hours of Making a Booking: 100% refund of the booking amount
30+ days notice: 50% refund of the booking amount
10-29 days notice: 25% refund of the booking amount
14 days or less: No refund
2.2 Special Circumstances
Natural disasters/Force majeure: Case-by-case evaluation
Artist illness: Alternative date or full refund
Venue cancellation: Alternative date or full refund minus non-recoverable expenses
3. Additional Terms
3.1 Rescheduling Options
One-time rescheduling allowed if requested 30 days in advance
Rescheduling fee of 20% may apply
New date must be within 3 months of original date, subject to availability of artists.
3.2 Performance Duration Changes
Reduction in performance duration on event day: No refund
Extension of performance time: Additional charges apply
3.3 Weather Considerations
Indoor venues: Standard cancellation policy applies
Outdoor venues: Client responsible for backup location
Weather-related cancellations: Subject to standard policy
4. Special Event Considerations
4.1 Festival/Large Event Bookings
Custom cancellation terms for multiple artist bookings
Higher advance notice period may apply
Special deposit requirements
4.2 Peak Season Events
Additional cancellation restrictions during festival seasons
Higher non-refundable deposits during peak months
Special terms for public holidays
5. Payment and Deposit Terms
5.1 Booking Confirmation
50% non-refundable deposit required to confirm booking
Balance payment due 7 days before event
Late payments may result in cancellation
5.2 Processing of Refunds
Refunds processed within 14 business days
Original payment method will be used
Bank charges may be deducted from refund amount
6. Dispute Resolution
6.1 Mediation Process
Written complaint must be filed within 7 days
Evidence of breach of terms must be provided
Third-party mediation if needed
6.2 Documentation Requirements
All cancellation requests must be in writing
Proof of unavoidable circumstances if applicable
Supporting documents for special consideration
7. Artist Rights
7.1 Artist Cancellation
Artists must provide 30 days notice
Replacement artist of equal caliber will be provided
Full refund if no suitable replacement found
7.2 Performance Quality Guarantee
Performance quality standards assured
Partial refund for substantial deviation from agreed terms
Video documentation may be required for disputes
